White pines Rental Agreement

Thank you for choosing a White Pines vacation property for your upcoming vacation. Below is your Rental Agreement, which explains the terms and conditions for the reservation Prior to your arrival, we will also send you a copy of our latest Check-In Information Guide-- with check-in instructions and other useful information about the room you will be staying in, and about Park City too.  It has been a pleasure working with you---and we hope that you enjoy your stay. RENTAL AGREEMENT—White Pines  

RESERVATION,  CONFIRMATION & SECURITY/DAMAGE DEPOSIT:
       This is an Agreement to rent the above-described property on a short term basis for the dates, rates and terms agreed upon herein. The suite that you are renting is a privately owned and managed condominium located at: Westgate. If you have provided us with your credit card information, you will not be charged for the security deposit.

       The balance of the rental payment is due within 7 days of your receipt of this Agreement.  Once we receive full payment for your reservation, and prior to your arrival date--we will email you a Check-In and Information Guide, and any access codes you may need.   Failure to make payments when due will result in cancellation of this Rental Agreement and your reservation.

       Upon your arrival, the $300 security/reservation deposit converts to a damage deposit. If the following provisions are met, your credit card will not be processed for charges against your deposit.  If you paid the deposit by check or otherwise: your deposit, minus any charges for the following, will be refunded and credited or mailed to you within ten (10) days of your departure :

  • No damage is done to the property or its contents.

  • No linens or household items or other items are missing.

  • No Pets have been in the property.

  • No Smoking has occurred in the Property.

  • No other charges for specified violations of this Agreement.

  • No housekeeping, maintenance, general service, linens or supplies have been ordered from the front desk.                  

PAYMENT:

We accept payment by personal check, money order or credit card. Credit Card information is required to pay, make, and/or hold the reservation and/or as the security/reservation deposit. If you are using a credit card, We will charge your card using the information you have provided online. Please note that we may charge your card at any time prior to your reservation, most commonly within 2-days of receiving this agreement.

 

CANCELLATIONS:

If you cancel more than 30 days before check-in there is no cancellation fee, and the remainder of your reservation/security deposit will be returned or not processed.

If you cancel 30 days or less before check-in, you will forfeit and be charged for all rental payments.

However, White Pines will make every attempt to re-book your reservation.  If re-booked , you will be refunded 80% of the replacement rental revenue received.

After arrival or the first day of rental, there will be no refunds for any reason.

No credit will be given for shortened stays due to late arrival or early departure, for any reason.

No cancellations due to weather or lack of snow.

 

CHECK-IN/OUT PROCEDURES:  

Check-in is after 4:00 p.m., Check-out is before 10:00 a.m.   

Please respect this housekeeping work schedule.  Do not arrive early, and please check out on time.

Checkout procedures:  Prior to checkout, all dishes and cookware should be washed and put away.  Remove all trash and return any moved furniture back to its original position. Please do not place bed or towel linens in the hallways or outside..  You will be staying in a privately owned condominium.  The sheets and towels belong to the Owner.  Before leaving, set all thermostats to 65 degrees in Winter and 76 degrees in Summer. Make sure all doors and windows are locked and shut.  Return any keys and check out at the front desk, if you have charged anything to the room.  

 

White Pines is not liable or responsible for personal items left behind, lost or stolen. If you leave an item after checking out and wish to have it returned, call us as soon as possible and we will arrange for shipment. We will inform you of the shipping cost and with your approval, either charge the expense to your credit card, or deduct it from your deposit refund, to cover the shipping expense.  

 

HOUSEKEEPING, MAINTENANCE, OTHER SERVICE & SUPPLIES:

When you arrive, the condominium will be clean and set up with bed linens and bedding; and a reasonable supply of bath towels, hand towels and washcloths.  PLEASE NOTE that the bed and bath linens belong to the owners---so do not put sheets or towels etc. in the hallways or allow building housekeeping personnel to take them.   Pool towels are available in the pool areas.   As a courtesy we have also included the following supplies to accommodate the appropriate amount of guests: coffee, tea, sweeteners, paper towels, dishwasher soap, hand soap, toilet paper and laundry soap. Each room is also supplied with a hair-dryer, iron & board, vacuum cleaner and various cleaning supplies and equipment.  

 

Daily housekeeping is not provided.  However, it can be arranged if requested in advance of your stay—at an additional cost depending upon the level of service requested.  The departure cleaning fee is intended to clean the room after normal use during your stay.  If extraordinary housekeeping is required due to an excessively dirty and/or abused room, you may be charged an additional housekeeping fee.

  

Please do not call the front desk for housekeeping, general service, maintenance, supplies, blankets, pillows, or bed and bath linens---unless it is urgent or an emergency—and we cannot be reached.    Please call us first--- at (801) 865-3175  or  (801) 865-3176 ---and avoid the any service charges.

 

The Owner or Owner’s Agent, and authorized repairmen, may enter the premises immediately in order to make emergency repairs and maintenance.   For  non-emergency repairs and/or maintenance; 24-hours notice or Guest’s permission is required.

 

RULES AND REGULATIONS & OTHER TERMS:

       Please read the attached document entitled  "Rules and Regulations & Other Terms.    The terms and conditions, rules and regulations therein will also apply to your reservation.

  • Rental of this property requires signature and occupancy by at least one adult.

  • This is a non-smoking condominium.  Violation of the non-smoking policy will incur a $200 fine, and cleaning expense if necessary to remove smoke odors from the premises or its contents. The owner might also seek restitution if the violation also causes loss of income.

  • No pets are allowed, except service animals with documentation, service vest & prior authorization & payment of the security deposit.    Failure to provide documentation and obtain pre-approval will result in termination of the Agreement & forfeiture of rent and deposit.

  • The swimming pool and hot tubs in the common area and the whirlpool tub in the room are provided for the enjoyment of guests. Children should have constant adult supervision.

  • House parties, drug use on the property, or any disturbance, annoyance, endangerment, or inconvenience of the neighbors; or use the premises for any immoral or unlawful purposes, or violation of any law or ordinance or waste or nuisance on or about the premises will result in immediately termination of your occupancy and Agreement, and forfeiture of rent and deposit.

  • Please do not bring on the premises any pesticides, cleaning products, aerosol sanitizers, air fragrances etc.   DO NOT USE LIQUID PLUMBER OR THESE TYPES OF PRODUCTS.

  • If Guests do not personally inspect the premises prior to signing, Guests agree to accept the rental property as is, provided it meets the basic description in the Agreement and advertising.

  • Guests shall be responsible for all damage, breakage and/or loss to the premises, except normal wear and tear and unavoidable casualties (deemed by Managers of Property) which may result from Occupancy.  All pipes, wires, glass, plumbing, household contents, etc., other equipment and fixtures will be in the same condition as at the beginning of our stay; reasonable wear and tear and damage from unavoidable fire and casualty being the only exceptions.

  • Any damages or notable conditions found upon arrival should be reported to the Property Managers within one (1) hour of Occupancy.  Guests understand the property will be inspected prior to arrival.  Upon departure, Guests acknowledge any loss and/or damage to the Property may result in a charge for the replacement or repair cost and agree to pay any unpaid moneys due. Said charge may be applied against the deposit, or charged to Guests credit card.  

  • Guests agree to indemnify and save Owner and Property Managers harmless from all liability, loss or damages arising from any nuisance or harm made or suffered on the leased premises by Guests or invitees. Also from any carelessness, neglect, or improper conduct of any persons entering, occupying or visiting the apartment or premises.

  • This Agreement may not be assigned or the property sublet, and is for the Guest’s use only. No changes to, or changing of locks of the premises are permitted.

  • There may be circumstances beyond our control and contemplation, in which the property might be unavailable or unsuitable for your reservation. Examples of these include ((but are not limited to) damage to the property, legal issued involving the property, or uninhabitability due to prior smoking etc.  In the event of unavailability/unsuitability, we will do our best to make alternative arrangements for you where possible. If we cannot, or if the alternative arrangements are not acceptable to you, then we will cancel your reservation and refund all monies paid. This will be the full extent of our liability in such circumstances, and we will not be responsible for any other costs connected with any such cancellation, howsoever arising.

  •  Any exceptions to these rules and regulations, must be approved in writing in advance.

  • Rates, terms taxes and conditions are subject to change by Owner without notice.

  • If a personal check is returned for non-sufficient funds, you will be charged a $25 NSF fee.

  • No subleasing, assignment of lease, or subletting is allowed.

  • In the event of litigation or arbitration related to this Agreement the prevailing party shall be entitled to its expenses attorneys fees and costs associated with such litigation or arbitration, including attorney’s fees, expenses and costs associated with collecting upon a judgment.

 

I HAVE READ AND UNDERSTAND ALL SECTIONS OF THE RENTAL AGREEMENT. I CERTIFY THAT I AM AN ADULT IN MY STATE OF RESIDENCE AND THAT I WILL BE HELD RESPONSIBLE FOR THE CARE OF THIS PROPERTY BEING RENTED UNDER MY NAME. I ACCEPT FULL RESPONSIBILITY FOR DAMAGES, ROOM CHARGES, OR EXTRA CLEANING CHARGES, SHOULD THEY BE DISCOVERED DURING THE STAY OR AFTER DEPARTURE.
